How We Helped an Insurance Company Reduce IT and Telecom Costs

Cimpl currently serves a public Canadian insurance company that provides its services to over 3 million customers. With nearly 10,000 employees and about 1,200 departments, managing MACDs became quite a challenge. Before implementing Cimpl, the company’s IT executives kept track and managed over 18,000 assets and services manually, through multiple different systems and Excel sheets. In using several different systems to organize their assets, the company often lost track of where specific assets were, leaving them uncertain about what assets they actually owned. Finding invoices and billing anomalies became an impossible feat. At the same time, the company had several vendors to track and pay.

On the other hand, the company must also be aware of what’s happening with its numerous IT and telecom vendors. As a result of their previous IT and telecom management practices, they would often end up with an inaccurate reflection of what they owned and where things were located.

The insurance company became trapped in a vicious circle; they couldn’t keep track of their assets nor services, making it impossible to organize an inventory that clearly demonstrated what they owned. They finally decided it was time to break the cycle by choosing to implement Cimpl. By regrouping everything related to their IT and telecom under one centralized system, they were able to gain control over their many assets. We pulled together all of their wireless, wireline, and IT assets into a customized Cimpl portal where they could order, track and manage their assets easily. Enabled end users to order and upgrade their devices, wireline networks, and IT assets themselves, directly within the platform. AP files are generated to chargeback costs by department and business units. The software also helped create a culture of cost transparency, through allocating and tracking costs of assets to specific users.

With our solution, the insurance company’s managers successfully gained clear-cut visibility over each employee’s individual usage, thus increasing accountability. Enforcing usage policies helped encourage employees to alter their usage behaviors and keep costs under control. With an at-a-glance dashboard, they can now easily determine audit trails and identify anomalies. By implementing automated workflows, they were able to work much more efficiently, freeing up time for employees to work on more important tasks. At the same time, incorporating automation in their workplace helped alleviate common human errors. Using Cimpl allowed them to save up to 20% of costs on wireless phones and rate plans, one of their most costly assets. Finally, management of their cost centers and IT budget significantly improved. As a result of using Cimpl, the insurance company was eventually able to increase their monthly savings to 5.5% through optimizing over-priced services, removing inactive and unnecessary features, and comparing rate plans to find the best possible contracts that provide efficient services, and cost them less.
